Hosting the UACES Annual Conference

The annual UACES conference, 'Exchanging Ideas on Europe', is a three day event hosted each year in a different city in early September. The UACES Committee is currently considering venues for the 2010 event.

Exchanging Ideas on Europe 2010: 40th Anniversary Conference

2010 coincides with the 40^th anniversary of the conference and it might be useful for potential candidates to frame the theme or the overall proposal in the context of such an event. Enquiries are welcomed from any UACES member. The deadline for applications to host 'Exchanging Ideas on Europe 2010' is 12 March 2008.

Below is a summary of the basic requirements for hosting the annual conference, together with the application form, which also provides further detail.

Venue

• Capacity for circa 250 people

• Large lecture theatre for plenary or keynote sessions

• Break-out rooms for research sessions (circa 10 rooms with capacity for 30-40 people)

• Communal areas close to the large lecture theatre and break-out rooms (for Publishers' Exhibition, refreshments, sale of papers)

• Accommodation options - halls of residence (en suite), reasonably-priced hotels (proximity to the venue is a factor)

Personnel

• Committed and enthusiastic local organisers with backing of Head of Dept

• Effective conference office contacts

• Co-operation of administrative staff at university to help with local details (most of the administrative work, i.e. handling of research papers, web site, registration etc. is handled by the UACES office)

• Circa six students to help out at the time of the conference

Other support

• Local organiser to be co-opted onto the UACES Committee for the twelve months preceding the conference (with the expectation that they will attend three Committee meetings)

• Liaison with other UACES committee members to identify and confirm key note speakers

• Efforts to secure financial support or sponsorship of the conference
